In my role coordinating emergency IT support for small businesses, I get a version of this question a lot: “The power flickered, and now none of the phones work. How do you reset a phone?”
Here’s the thing: the phone is usually not the problem. It’s the way the network stack came back up, or the Tripp Lite 600VA UPS that’s been beeping since the storm. Now for the actual question. For most VoIP desk phones, a soft reset is enough: unplug the Ethernet cable and the power adapter, wait 15 seconds, then plug it back in. The phone should re-register with the PBX within a minute or two. If you’re dealing with a company smartphone, a soft reset is the same as a reboot: hold the power button, swipe to restart.
A factory reset is the last resort because it wipes data. Don’t hold me to this, but I’m pretty sure every major phone manufacturer documents the exact reset sequence in its manual; I look it up every time. I’m a power infrastructure guy, not a phone repair tech. When a phone truly needs a factory reset, I go to the manual like everyone else. My job is making sure the power and network are solid so you don’t end up resetting phones every week.
Step 4: Inspect the Enclosures (The Step Everyone Skips)
While the phones reboot, take a look at the rack enclosure. Overheating is a common cause of weird PoE drops. Check the front door, back door, and fans. If your enclosure is a Tripp Lite rack enclosure with a fan panel, make sure the fans are spinning and the vents aren’t clogged.
Never expected the culprit to be a dust-clogged fan. Turns out heat, not software, was causing the phones to lose power. The switch was overheating and dropping PoE to random ports, which made the phones reset themselves repeatedly. Cleaning the fans fixed it.
Step 5: Test the End-to-End Path
Don’t reset one phone and declare victory. From a laptop, ping the phone’s IP address, then check that the phone has a valid DHCP lease. If you have a KVM switch in the enclosure, use it to check the server logs. This is the step that separates a temporary fix from a real fix.
If the phone gets an IP but can’t reach the PBX, check the VLAN config on the switch. If the phone doesn’t get an IP at all, look at the PoE switch. In my experience, bad cabling or a half-seated patch cable is behind more “phone won’t reset” calls than actual phone failures.
Step 6: Know Your UPS Battery and Your Brand
If the Tripp Lite 600VA UPS has been in service for two or three years, the battery is the weak link. Tripp Lite—now Tripp Lite Eaton—sells replacement battery modules; the manual tells you which one. I can verify current battery availability from the Tripp Lite Eaton website, and it’s usually straightforward.
In Q3 2023, I checked four clients’ UPS units and three had batteries dated 2018 or older. We replaced them before they failed, which is the better way. After the emergency is over, do these three things:

- 7.3 Schedule battery replacement. Write the date on the battery when you install it. Replace it every 2–3 years, not when the UPS starts beeping.
What Most People Get Wrong
Don’t reach for the factory reset before trying a soft reset. On most business phones, the soft reset clears the RAM but keeps the settings. A factory reset is irreversible, and you’ll spend an hour reconfiguring.
Don’t test the UPS by unplugging it repeatedly. Deep discharges on an old battery can kill it faster. Don’t store spare UPS batteries inside the enclosure if it runs hot; heat shortens battery life dramatically.
If you need to return a phone under warranty, per FTC guidelines (ftc.gov), the manufacturer generally must honor the warranty if the product fails under normal use. You may be asked to pay shipping if the warranty says so and the cost is reasonable. Check before you pay.
